Identification Requirements

Notaries are required to maintain records of clients and verify their identification.

Please ensure you bring the following items with you:

This should include an unexpired passport, driver’s license, or national identity card.

This should be dated within the last three months and can include a utility bill or bank statement.

If you do not have any of the documents mentioned above, please reach out to us for guidance on how to meet our requirements.

For business clients, notaries will need to verify both your personal identity and the existence of the company or organization you represent. Additionally, they will confirm that you have the authority to act on behalf of that entity. When dealing with UK-based companies or organizations, the notary typically conducts their own checks to ensure the entity exists.

For companies or organizations established overseas, you may be required to provide specific documents to assist in this verification process. These documents may include a certificate of incorporation, a good standing certificate, or other relevant evidence.

If the notary has to certify your authority to represent a company or organisation, additional documentation will be requested, for example:-
  • Constitutional documents (e.g. memorandum and articles of association)
  • Power of Attorney
  • Chamber of Commerce certificate
  • Board Resolutions
  • Authorised signatory book (in the case of banks)

If we are unable to resolve the matter you may then complain to The Notaries Society, of which all our notaries are members, who have a Complaints Procedure which is approved by the Faculty Office. This procedure is free to use and is designed to provide a quick resolution to any dispute.

If you have any difficulty making a complaint in writing, please do not hesitate to call The Notaries Society/the Faculty Office for assistance.

Finally, even if you have your complaint considered under the Notaries Society Approved Complaints Procedure, you may at the end of that procedure, or after a period of 6 months from the date you first notified us that you were dissatisfied, make your complaint to the Legal Ombudsman*, if you are not happy with the result:

If you decide to make a complaint to the Legal Ombudsman, you must refer your matter to the Legal Ombudsman:

Within six months of receiving a final response to your complaint and

*certain kinds of commercial entities are not eligible to make a complaint to the Legal Ombudsman – please refer to the Legal Ombudsman Scheme Rules or consult the Faculty Office.

Insurance

In compliance with regulatory requirements, our notarial practice is covered by professional indemnity insurance, providing a liability limit of £1,000,000.00 for each claim.

Additionally, our notaries are safeguarded by fidelity insurance under the Notaries Guarantee scheme.
